Diia app to become mandatory for Ukrainians booking passport appointments in Poland
Ukraine’s state-run enterprise ‘Document’ announced on 30 May 2026 that, from 1 June, Ukrainians living in Poland will need to verify their identity through the Diia mobile application when reserving slots at Passport Service centres in Warsaw, Wrocław, Gdańsk and Rzeszów. The pilot, which also covers the Milan centre in Italy, introduces ‘Diia.Sign’ digital authentication before an electronic queue (e-kolejka) ticket can be issued. The shift aims to curb rampant black-market reselling of appointment slots that has plagued the centres since Russia’s 2022 invasion pushed millions of Ukrainians abroad.

For applicants who still need hands-on assistance, VisaHQ’s Warsaw office (https://www.visahq.com/poland/) offers end-to-end support with Diia-linked passport bookings, Polish visas and other travel documents, streamlining paperwork for both individuals and the HR departments that support them.

By linking reservations to a verified Diia profile, officials hope to shorten lines, reduce no-shows and improve throughput. Walk-ins will still be possible each day—60 tickets in Warsaw, 40 in Wrocław, 30 in Gdańsk and 30 in Rzeszów—but priority will be given to pre-booked applicants. The announcement is significant for Polish employers whose Ukrainian staff need to renew international passports to keep residence permits or travel for home-leave rotations. HR managers should inform employees that they must update the Diia app to the latest version and have a working ‘Diia.Sign’ digital signature before 1 June. Companies relying on agents to secure appointments will see that channel effectively closed. Longer term, Kyiv plans to extend Diia-based booking to centres in Slovakia and Germany, signalling a regional move toward fully digital consular services. Polish authorities, who recently migrated their own immigration case-handling to the MOS portal, view the initiative as complementary: secure digital queues lessen street-level congestion around consular buildings and free local police resources.
