From 4 April 2026, foreign nationals seeking to live and work in Poland can file almost the entire immigration process online thanks to the roll-out of the new MOS 2.0 (Moduł Obsługi Spraw) platform. Announced by the Ministry of Digital Affairs and detailed in a user guide circulated to consulates, the system allows applicants to create a secure account, verify identity via the e-ID or the Trusted Profile (Profil Zaufany) and submit combined work-and-stay permit requests without visiting a voivodeship office.

The upgrade replaces a patchwork of regional portals and paper forms that contributed to backlogs of up to ten months in major cities. Biometric enrolment is still required, but appointments can now be scheduled online and completed at any regional passport agency, easing travel for assignees in smaller towns. For employers, the headline change is the introduction of an employer dashboard that tracks permit status in real time and flags missing documents before officials start substantive review. Multinationals can bulk-upload employment contracts, saving HR teams dozens of staff hours per application cycle. The system also integrates with the tax authority’s ZUS platform so that insurance registration happens automatically once a permit is approved. Immigration advisers caution that the first weeks may see technical glitches and recommend submitting critical filings outside peak hours. They also note that the portal currently supports Polish and English only; versions in Ukrainian, Russian and Vietnamese are promised by July. Companies relying on smaller provincial labour offices should verify whether those offices have migrated fully, as legacy queues will still be processed offline. Poland processed a record 504,000 first-time residence permits in 2025, the highest number in the EU. Digitisation is central to the new government’s aim of sustaining economic growth despite a shrinking domestic workforce, signalling that Poland intends to remain an attractive destination for IT, engineering and SSC talent.
