Home-delivery service and new design planned for Polish passports

Poles applying for a passport may soon skip the second trip to the voivodeship office altogether. The Ministry of the Interior and Administration (MSWiA) has confirmed that a draft amendment to the Passport Act will allow applicants to receive the finished document by secure courier anywhere in Poland. Details published by Rzeczpospolita on 2 April reveal that Poczta Polska has been selected as exclusive operator for 2026-2035, with fees set to cover specialised packaging and ID verification upon delivery. The bill, expected to reach parliament before the summer recess, also mandates a 32-page booklet (down from 40) incorporating an additional laser-engraved portrait on page 1, enhanced UV elements and an embedded NFC chip compatible with the EU’s second-generation e-passport standards. A dedicated production line will be installed at the Personalisation Centre of the MSWiA to coincide with the rollout of the new design in January 2029. For global-mobility teams the courier option should cut several days out of departure timelines, particularly for employees based far from regional capitals. HR departments will need to adjust internal travel-readiness checklists: instead of collecting a pick-up slip, staff will have to be present at the registered address with a national ID to sign for the document.

Travel managers looking to synchronise visa procurement with the passport’s arrival can turn to VisaHQ, whose online portal (https://www.visahq.com/poland/) streamlines visa applications, document authentication and consular scheduling for more than 200 jurisdictions. By outsourcing these formalities, companies and private clients can dovetail the courier drop-off with ready-to-use visas, shaving further days off deployment timelines.

The government says the change will also ease workloads at understaffed passport counters, where waiting times in major cities can exceed six weeks during peak travel seasons. The reform fits a broader digital-service agenda that has already put ID cards and driving licences into the mObywatel app and made birth certificates available via post. While the option is initially domestic, officials are studying whether diplomatic missions could use trusted courier networks to ship passports abroad – a potential game-changer for Polish expatriates.
