Poland cuts paperwork for residence cards by halving biometric-photo requirement

Poland cuts paperwork for residence cards by halving biometric-photo requirement
Foreign nationals applying for a Polish temporary-residence permit received an early Christmas present this week: a completely redesigned, 18-page smart application form that slashes the number of required biometric photos from four to two. The change, rooted in a regulation signed on 25 November, was highlighted in a 4 December VisaHQ dispatch.

The new Form K is already live on the Moduł Obsługi Spraw (MOS) portal. It features dynamic drop-down menus, context-sensitive help in seven languages and built-in validation that prevents submission if mandatory fields are blank. Applicants generate a bar-coded PDF, print it and bring it to their in-person appointment; a fully paperless flow, including e-signatures, is promised for late 2026.

Immigration lawyers say the streamlined checklist could shave up to a week off preparation time for Blue-Card and intra-corporate-transferee cases that previously required multiple annexes. The underlying eligibility criteria—income, insurance and accommodation proofs—remain unchanged, so approval rates will still hinge on substance rather than form.

For HR and mobility teams the practical steps are to download the new form immediately, update internal guidance materials and budget extra time for staff to familiarise themselves with the dynamic fields. Early adopters report that the form’s validation logic already reduces errors that previously led to rejections at voivodeship offices.

The move is part of Warsaw’s broader push to digitise immigration workflows after mandating electronic work-permit filings in October and introducing higher fees this month.
