Government proposes 33 % increase in domestic and overseas business-travel allowances

Government proposes 33 % increase in domestic and overseas business-travel allowances
On 25 February 2026 the legal team at Eversheds Sutherland flagged a draft amendment that will raise the statutory per-diem for official travel inside Poland from PLN 45 to PLN 60. The same regulation ups the lump-sum for local transport and the nightly accommodation cap. For international trips, new ceiling rates are set for the Czech Republic (EUR 55), Germany (EUR 65), France (EUR 70), Spain (EUR 65), the United Kingdom (GBP 70) and the United States (USD 80).

Although the text formally covers employees of state and local-government units, Article 775 of the Labour Code makes the same figures the mandatory minimum for private-sector employers unless they set higher rates in collective or salary regulations. In practice, thousands of Polish and multinational companies simply mirror the government schedule to avoid complex benchmarking exercises.

For companies that also have to manage visas and other travel documents, VisaHQ (https://www.visahq.com/poland/) offers a convenient one-stop platform for securing the necessary paperwork for Poland and all major business destinations. By outsourcing the administrative burden of entry requirements to VisaHQ, HR and travel managers can concentrate on updating per-diem tables and budgets instead of juggling consular rules at the last minute.

The Ministry of Family, Labour and Social Policy justified the 33 % hike by pointing to inflation and a 27 % rise in hotel prices since the last adjustment in 2022. Business-travel managers should expect direct cost increases once the regulation is published in the Journal of Laws – which could happen as early as mid-March – because the draft gives only 14 days’ vacatio legis. Trips that start before the effective date and end after it must be split and reimbursed at two different rates.

Finance departments should update travel-management systems, daily-allowance tables and posting-of-workers budgets. Expatriate policies that calculate cost-of-living or hardship allowances using the Polish per-diem as a baseline will also need recalibration. Companies that cap reimbursement at the statutory maximum risk employee grievances if they fail to adjust on time.

The draft does not change documentation rules: travellers must still submit a settlement report with receipts for accommodation exceeding the fixed limit. The government left kilometre allowances for the use of private cars unchanged – a disappointment for frequent cross-border commuters who hoped for indexation.
