The Office for Foreigners has quietly rolled out an upgraded online workflow for temporary-residence applications on its Moduł Obsługi Spraw (MOS) portal. The 2 December release replaces static PDFs with a smart form that features drop-down menus, context-sensitive help in seven languages and built-in validation. If mandatory fields are left blank, the system blocks submission, a design the agency says could reduce the current 40 % rejection rate at voivodeship offices.
Applicants now generate a bar-coded PDF that they print and sign for their biometrics appointment; an end-to-end paperless flow is scheduled for late 2026 once qualified e-signatures are enabled. The user interface also links directly to the new biometric-photo specifications introduced this week, ensuring that uploaded images meet ICAO standards.
For employers, the upgrade means fewer rescheduled appointments and faster permit issuance, particularly in tech hubs such as Kraków and Wrocław where rejection rates have historically outpaced national averages. Mobility teams should update employee guidance immediately: data fields have been reordered, and the system times out after 30 minutes of inactivity, automatically deleting unfinished drafts.
The Office for Foreigners plans to add a dashboard in Q1 2026 that will let HR representatives track multiple cases in one view—a long-standing request from multinational employers.
