Czech Embassy in Hanoi opens one-day e-mail lottery for December long-term visa slots

Czech Embassy in Hanoi opens one-day e-mail lottery for December long-term visa slots
The Czech Embassy in Hanoi has confirmed that it will accept e-mail registrations for long-term visa and residence-permit appointments on 4 November 2025 only, between 14:00 and 20:00 (Vietnam time). During this six-hour window, Vietnamese and other eligible foreign nationals can compete for just 15 interview slots covering study, family reunification and seasonal-work categories for December 2025.

Applicants must put their passport number in the subject line and include their full name(s), purpose of stay and PDF scans of the passport data page plus documentary proof of purpose (university admission letter, marriage certificate, work contract, etc.). The embassy warns that bulk or duplicate e-mails, oversized attachments, missing documents or attempts to register more than one adult applicant per message will be automatically excluded by the system’s spam filter. Successful applicants will be notified within ten days; appointments cannot be rescheduled, and late arrivals will be turned away.

The Hanoi outpost is one of the Czech Republic’s busiest consular sections: in 2024 it received more than 18,000 long-term visa and employee-card applications, far exceeding its annual quota under Government Regulation 220/2019. In recent months demand has surged again following Czechia’s decision to prioritise highly-qualified workers from Asia and fast-track family reunification cases.

For Vietnamese students, the 4 November lottery is the final chance to secure an interview before the winter semester. Employers sending seasonal workers to Czech farms and ski resorts likewise face a race against time, as work-permit processing can take up to 90 days. Fragomen consultants in Ho Chi Minh City advise corporate clients to pre-assemble complete document sets—including Czech-language translations—so they can hit “send” as soon as the window opens.

Practically, business-mobility managers should: 1) brief candidates on correct e-mail format; 2) arrange for stable high-speed internet and power back-up during the window; 3) prepare contingency plans (e.g., rerouting candidates to the Czech Consulate in Ho Chi Minh City or to embassies in Bangkok or Kuala Lumpur) should they fail to secure a slot. Companies with large cohorts may also consider applying under the Czech government’s “Highly Qualified Worker Programme,” which allocates separate quotas and sometimes offers dedicated booking channels.
